Choosing the right knowledge management depends on your use case, data volume, and requirements for timeliness and control. Here's an overview of when each solution works best:
Upload Files from Computer
For quick, one-time queries or when you want to analyze specific files directly in chat, we recommend uploading directly from your computer.
Use Files from Connectors
If you want to access existing files from SharePoint, OneDrive, or Google Drive without manually uploading them, use the relevant connector to browse and read them live.
| Pros | Direct, real-time access to cloud files |
| Cons | Files are queried on demand, not indexed for team-wide semantic search |
Folders
Knowledge Folders are now called Folders. Find them in the Library → Folders.
Suitable for central, team-wide knowledge bases used by multiple users or agents. Ideal when you want to build a structured collection and assign specific access rights.
| Pros | Central management, granular permissions, easy UI management, can be shared with multiple agents |
| Cons | Manual uploads unless the folder is synced from Google Drive |
Sync a Google Drive Folder
When you want to ensure your agent always accesses the latest version of documents. Ideal for dynamic knowledge bases that change regularly (e.g., product documentation, policies, FAQs).
| Pros | Automatic, ongoing synchronization with Google Drive |
| Cons | Google Drive only — SharePoint/OneDrive are browse-only |
